Kimley-Horn Administrative Assistant in Raleigh, North Carolina

Overview

Kimley-Horn is looking for an Administrative Assistant to join our team in Raleigh, North Carolina (NC)! This is an in-office position.

Responsibilities

  • Provide administrative support for approximately six team members, including calendar management, meeting scheduling, expense reporting, invoice submission, individual and group travel arrangements, meal ordering for events and meetings, and other similar activities

  • Lead FedEx program administration for the firm, including building a relationship with the vendor contact, escalating issues appropriately, providing access to the app for office administrators, and troubleshooting issues

  • Organize monthly meetings by preparing agenda, organizing speakers, ensuring technology functions properly, and sending out meeting recap and safety link

  • Provide support for daily check runs, including preparation of shipping labels and stuffing and mailing envelopes

  • Provide backup coverage for check deposits, manual check signing, travel and American Express helpdesks, and rotational front desk coverage as needed

  • Provide general office support, including ordering and stocking office supplies, cleaning kitchen area, and mail room responsibilities (shipping and supply ordering)

  • Other ad hoc duties as requested

Qualifications

  • 1 year of related administrative experience

  • Capable of managing and balancing multiple tasks/priorities with a sense of urgency

  • Highly organized and detail-oriented

  • Ability to learn new tasks and/or software programs quickly (including Concur, Excel, PowerPoint, Outlook)

  • Strong interpersonal and communication skills

  • Positive and client-oriented

  • Ability to effectively partner with team members and other administrative staff

  • Ability to respond quickly and efficiently to requests for assistance
