Kimley-Horn Senior Administrative Assistant (Orlando, FL) in Orlando, Florida
Responsibilities include, but are not limited to:
Support multiple functional leaders of a region comprised of more than 800 employees in multiple locations.
Provide support to marketing, human resources, information systems and accounting at various times.
Process confidential information such as staff reports and committee documents.
Compile meeting agendas, minutes and miscellaneous other documents.
Independently draft memos/correspondence for review by various regional management team members.
Serve as the travel coordinator for several Florida offices and negotiate rates with hotels and conference centers and arrange travel in support of firm initiatives.
Special project coordination: Annual kick-off meeting, Mid-year/Business plan meetings, staff lunches and dinners.
Proactively manage regional management team member Outlook calendars (meetings/call scheduling), as well as all travel and expense reports for the team.
Provide updated information for the company intranet, attend monthly conference calls, and train administrative support on company policies & procedures.
File and maintain project files, fax, scan and process mail as needed.
Provide back up support to office administrative staff when needed.
Ten years of progressively responsible Administrative Assistant experience preferred.
Experience with proactive calendar management for multiple executives.
Proven ability to maintain confidentiality.
Significant experience and proficiency using Microsoft Office (Word, Excel, Outlook, Power Point, Teams).
Exceptional customer service, strong organizational skills and a friendly personality.
Excellent organization and follow-through skills as well as the ability to multi-task in a fast paced environment with limited daily supervision.
Exceptional written and verbal communication skills, typing skills and attention to detail.
Strong grammar and punctuation skills with ability to proofread documents and correct as needed.
Ability to anticipate needs of others.
Capable of managing and balancing multiple tasks/priorities and performing well under pressure.
Ability to support a variety of professional workgroups and in a team environment.
Ability to work overtime when necessary.
